1. Purpose of This Policy

This Privacy Policy explains how Knights of Columbus Council 12313 (“the Council,” “we,” “our,” or “us”) collects, uses, stores, and protects personal information shared through our website and related electronic interactions.

This policy applies to members, volunteers, donors, parishioners, event participants, and visitors who interact with our website or provide information to the Council. By accessing our website or submitting information, you consent to the practices described in this Privacy Policy.

Our goal is to respect your privacy while ensuring that Council operations run effectively in support of our Catholic, charitable, and fraternal mission.

2. Scope

This policy applies to all information collected through our website or through Council activities involving electronic communication or digital recordkeeping.

This includes membership forms, volunteer registrations, event signups, donations, contact forms, electronic communications, automatically collected data (such as cookies, analytics, system logs, and site usage tracking), and information submitted within password-protected member areas.

Information collected through integrated third-party platforms that support our website (such as hosting systems, event management tools, payment processors, and email automation tools), including information collected offline that is later entered into our digital systems, is governed by this Privacy Policy.

3. Information We Collect

We may collect personal information including name, address, email, phone number, membership details (Council and/or Assembly affiliations, volunteer roles, parish involvement), biographical information voluntarily provided, and event attendance or volunteer activity history.

We do not collect sensitive identifiers such as Social Security numbers.

We may collect donor information including donation amounts, payment details processed through secure third-party providers, and acknowledgment preferences.

Technical information may include IP address, browser type, device type, operating system, device identifiers, approximate location, and website usage data collected through cookies or analytics tools (such as Wix Analytics or Google Analytics).

Payment information necessary to process donations or event payments is transmitted securely to approved third-party processors. The Council does not store full credit card or bank account numbers.

When collaborating with St. Bernard of Clairvaux Parish or the Diocese of Phoenix, information may be shared to support joint events or ministries.

We do not knowingly collect personal information from children under age 13. If such information is discovered, it will be deleted promptly.

4. How We Use Your Information

We use information only for legitimate Council purposes, including maintaining records, communicating about events and meetings, coordinating parish activities, processing donations and providing receipts, managing donor preferences, supporting Knights of Columbus reporting requirements, and protecting the security and proper functioning of our website and systems.

You may opt out of non-essential communications at any time. Essential communications such as donation receipts, event confirmations, membership notices, or required updates cannot be opted out of.

We do not sell, rent, or trade personal or donor information for commercial purposes.

5. Data Storage and Access

Website data is hosted by Wix.com, which provides encryption, secure transmission, and protected hosting infrastructure. Because Wix operates globally, data may be stored in the United States or other locations.

Access to personal information is restricted to authorized Council officers and designated individuals who require access to perform official duties. Individuals with access must maintain confidentiality and handle data only for authorized purposes.

6. Data Retention

We retain personal information only as long as necessary to fulfill Council purposes, meet operational needs, satisfy legal requirements, comply with audit or financial obligations, or otherwise comply with applicable laws.

Certain records may not be deleted if required for legal, financial, historical, or operational reasons.

6(b). Data Destruction and Purging Procedures

When personal information is no longer required for operational, legal, financial, or historical purposes, it will be securely deleted, anonymized, or destroyed.

The Council will periodically review stored digital records to determine whether information should be retained, archived, anonymized, or permanently deleted.

Electronic records will be deleted from active systems and, where feasible, from backups in accordance with the standard data lifecycle practices of our hosting provider or other approved service providers.

Physical records, if any, will be shredded or securely destroyed.

Certain records may be retained for extended or indefinite periods where required for IRS reporting, donor acknowledgment history, legal or audit obligations, Knights of Columbus reporting requirements, or preservation of significant historical Council records.

The Council does not guarantee retroactive deletion from archived backup systems beyond standard retention cycles.

7. Data Sharing and Disclosure

We may share information within the Knights of Columbus organization (local, state, or Supreme Council), with St. Bernard of Clairvaux Parish or the Diocese of Phoenix for joint coordination, and with trusted third-party service providers (such as Wix, Evite, and payment processors) that process or transmit data on our behalf.

Third parties are required to protect the confidentiality of information and use it only as instructed.

We may disclose information to comply with law, respond to emergencies, prevent fraud, or protect the Council’s legal rights.

We do not sell, rent, or commercially share personal or donor information.

8. Cookies and Tracking

Our website may use cookies and tracking technologies to recognize returning visitors, enable secure logins, enhance functionality, and understand website traffic.

You may control cookie settings through your browser, though disabling cookies may affect website functionality.

9. Your Rights and Choices

You may request access to, correction of, or deletion of your personal information, subject to legal and financial retention requirements. You may opt out of non-essential communications at any time.

We may require identity verification before fulfilling requests.

10. Security and Incident Response

We implement technical, administrative, and organizational safeguards to protect personal information, including encryption, restricted access, confidentiality requirements, and secure hosting infrastructure.

In the event of a data security incident, the Council will comply with applicable breach notification laws in effect at the time of the incident. Notification obligations apply to affected individuals as required by law. The Council does not maintain separate notification procedures for deceased individuals unless legally required.

While we take reasonable precautions, no online system can guarantee absolute security.
